Human Resources Administrator & Assistant to the Vice President, Human Resources

Job Description Summary The Human Resources Administrator and Assistant to the Vice President of Human Resources provides the Vice President with overall assistance in the management of the Human Resources Department. They are responsible for independently managing specific divisional areas of operations, projects and processes; providing comprehensive administrative support through the planning and managing of meetings and events, calendar management, document and communications preparation. As an HR Administrator they are responsible for reviewing, interpreting and updating human resources policies and procedures, identifying potential issues, assessing and revising standard and new documents; administering ADA accommodations; coordination and preparation of vendor agreements and purchase requests; responding to other HR related matters as needed. Essential Responsibilities o Oversees and manages content, distribution, reviews and revisions of standing HR policies, employment guidelines, and other documents. Serves as a resource to HR staff and community on interpretation of employment guidelines, policies, and best practices. o Assists VP with budget preparation, including conducting research, analysis, and monitoring administrative budget for use and discrepancies. Prepares vendor agreements, reviews and prepares for authorization vendor purchases and payments. Ensures departmental expenditures conform to acceptable use of College funds; makes recommendations to staff. o Manages I-9 compliance, including administration, audit, retention, and staff training. Remains abreast on related matters o Serves as a member of the HR leadership team that advances the HR strategy and determines and drives HR goals and initiatives. o Works with the VP in monitoring departmental strategic goals and objectives. o Gathers and analyzes financial information related to management initiatives and ensures integration of group planning. o Provides administrative support to the Vice President including, but not limited to, managing the VP's calendar, scheduling meetings, correspondence, etc. o Independently oversees work authorizations of foreign nationals. Anticipates the most effective path to continued work authorization, providing recommendations to HR, the Dean of Faculty, division chairs and department leaders. o Initiates, directs, and administers employment-based immigration filings collaboratively with outside counsel and department leaders. o Understands, interprets and applies the principles of ADA law and exercises independent judgment in assessing accommodation requests. Implements specific accommodations and monitors accommodations on an ongoing basis. o Conducts research and prepares reports of HR trends and/or best practices in requested areas. o Provides recommendations to the VP of HR in ensuring clear communication and documentation. o Anticipates VP's operational needs and proactively brings together appropriate people and resources in support. o Manages documentation through accurately filing of material and maintaining organization and integrity of files and other confidential data. o Prepares correspondence, reports, comprehensive spreadsheets, graphs, presentations, and other material for internal audiences. o Assists with and/or independently prepares presentations and communications. o Assumes additional responsibilities as required. Minimum Experience Education Requirements: Minimum Level of Education Required Bachelor's Degree Position Knowledge/Skills & Abilities Requirements: o At least seven years prior successful experience in human resources administration and also experience supporting senior level professionals o Ability to independently monitor changes in workplace protocols and statutes and modify applicable guidelines as necessary o Ability to administer ADA practices and accommodations for the College o Must have excellent prioritization, planning and organizing skills with the ability to effectively manage multiple projects simultaneously o Must be proficient in and possess the ability to quickly learn Workday for HR Administrators, and other HR business systems o Ability to interact professionally with internal/external constituents with a solution-oriented position, confidentially and, diplomatically handle situations and information with emotional maturity, confidence and ease o Must have proven time and project management skills and possess a high attention-to-detail orientation o Ability to work independently with initiative and to manage workload o Ability to provide exceptional client interactions with all levels both internally and externally o Must have knowledge of expense and budget reporting, accounts payable, and facilities management systems o Ability to execute tasks with strong attention to detail o Must be an expert Microsoft Office skills including Word, Excel, PowerPoint and Outlook/calendaring skills and proficient overall computer skills, including research methods and sources o Envisions and proposes new methods to perform tasks that support ET&A; takes thoughtful risks; and accepts new and ongoing initiatives, objectives, and solutions to gain sought-after results. o Anticipates and embraces change; demonstrates willingness to achieve, acquire, and utilize new skills and challenging tasks; and is flexible in changing conditions. o Must have excellent verbal, written and presentation communications skills 204-2017

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
